Deciding on GEDYS IntraWare7A modern "Customer Relationship Management" software solution, which is tailored to the needs of the user, creates clarity in business processes and secures the acceptance of the employees in the company. In addition, it increases the efficiency of the employees, as all relevent business information is accessible at any time, in any location. An excellent example of the implementation of GEDYS IntraWare 7 CRM solution is supplied by the company "POPP Feinkost": With the aide of a suitable CRM system, the first steps of the operational procedures in the sales department (internal and external) and purchasing could be optimised. Important is also the opportunity, at any time and regardless of location, to access the relative data and documents of all customers and suppliers. Filing and administration could be simplified, digitalised and, with that, made accessible to everyone as well as achieving a thorough documentation of customer communication. To facilitate these requests, "POPP Feinkost" found a partner in immediat Information Management GmbH, who, with the aide of the product GEDYS IntraWare 7, could realise their demands and fulfil them. Before these requirements could be fulfiled, there was a detailed survey of the employees of the relevant departments held to assertain the demands they would have on the system. This presented a variety of requests from the sales and purchase departments, within the area of sales, this also presented differences between the demands of the internal and external departments. The varied requirements had to be portrayed by the immediat Information Management GmbH in their new solution. The user would then be in a position to influence the system and adapt it to comply with their operational procedures, so that no "Foreign" system could be provided. This was intended to lead to trouble free acceptance of the new system. "Above all, improved access to ALL information for the employees is essential, in particular during absence or illness. Deputizing for an absent member of staff should, at all times, offer the possibility to make a process comprehensible or test it. In short: What has occurred, where and when, with this customer", explained Christian Lübers, IT-leader at POPP Feinkost GmbH. There was a very old CRM solution, which was never really used, whose continued existance was limited to importing. Therefore it was clear that a solution based on "Lotus-Notes" was necessary. The documentation and administration of appointments, as well as arrangements, had to be digitalised, stored and monitored relative to the customer. Printing costs could also be reduced thanks to the digital storage of e-mails. The reduction of time consumming document filing and of additional administration costs would also play a vital roll. On the recommendation of our long time partners immediat GmbH, the decision was made promptly. The GEDYS IntraWare CRM solution offered the best integration in Lotus-Notes and, with that, had the decisive advantage over their competitors products. Currently the solution is completely integrated in the "Normal" operative procedure of Lotus-Notes. The implementation was carried out almost completely without problems. The standard solution was then expanded, using specialised drafts and view points, through the stimulus of the user and with improved integration in the operative procedures. Initially, the user had an increase in time taken in implementation to overcome, due to adapting their operative procedures in accordance with the solution. Many users quickly registered a time saving in conducting their daily business and the advantages were gradually acknowledged. The acceptance by older members of staff was initially limited, as they wished to maintain their set daily routine. This was quickly improved with the intensive training of said employees. The implementation of such training offered self-assurance in dealing with the solution and encouraged acceptance of it. Currently at POPP Feinkost GmbH, an expansion of the solution for further, daughter companies and the administration area is being tested. We are extremely satisfied with the handling of this project from our partner, immediat Information Management GmbH, and with the software GEDYS IntraWare 7, as we have been able to work productively using the standard solution with very little adjustment.
